Hello all,
I wanted to give everyone an update on how the migration is going behind
the scenes. We're expecting the new FOLIO sandboxes sometime this week and
when we get them we'll begin loading your patron data. I will create a
shared login for each library so you can then access your sandbox and
review & verify that your patrons look okay (review period dates TBD).
For your inventory (catalog) data we'll be getting to that early to mid
December. FLO will handle the MARC exports (except for Stonehill) and data
massaging for you.
*For your homework:*
1. Many libraries left their inventory mapping meetings with unanswered
questions. FLO would like to see all of the gaps in your inventory
spreadsheets to be filled in *by Thanksgiving (11/28)*, if possible.
That way we'll be able to proceed with loading your catalog data in
December. Please finish determining what you'd like to keep/purge. If
anything is marked "Report" or blank please update it with your final
decision. (You will have time to make changes during the review period but
we need everything filled out to do the initial load).
2. I've created a Google Doc for every library to list any 3rd party
integrations

they're expecting to use. I've kept past responses in the doc so you can
see examples. Please list any system outside of FOLIO that you plan to use
with FOLIO. Although most of the integrations will be configured post
go-live we like to know what to expect sooner than later so we can plan
accordingly. If libraries could add their lists by *the end of December*,
that would be appreciated.
If you have any questions about any of the above, please let me know. There
will also be time to go over all of this again at next week's Core Team
meeting.

Hello all,
Although there wasn't a day that worked for all responders, the best option
for our first Core Team meeting will be *Wednesday,* *November 20th @ 10am*.
I've just sent out a recurring Google Calendar invite to everyone. If you
can't make it this time hopefully next time will be okay. I haven't created
the agenda yet, but if you have any topics/questions you'd like to add,
please let me know. This will be your time to discuss the migration's
progress and what's next on the timeline.

Good morning everyone,
As I mentioned during the kick-off, one of our regular meetings we have
during system migrations is called a "core team" meeting. This is when
everyone participating in the migration (libraries, FLO staff, and Index
Data staff) meet to review the progress of the migration and ask important
questions. The current plan is to have these meetings monthly and increase
the frequency, if necessary. As usual, they will be done over Zoom and
recorded.
If you haven't done so already, please respond to the Doodle poll with your
availability for our first core team meeting by *this Thursday, November
7th*. Anyone on staff is welcome to join, but not everyone needs to come.
We need at least one representative per library. Thank you for your time!

I wanted to make an official announcement of when each institution's
go-live date will be. Please mark your calendars accordingly.
- May 19th, 2025 - Stonehill College
- June 9th, 2025 - MassArt, MFA, and Lesley University
- June 16th, 2025 - New England Conservatory
Note: There will be a data freeze period of one week prior to your go-live
to allow for the data export/import process between systems. You can see
all of the dates mentioned in the email in the migration timeline

*What is a Go-Live?*
This is the date where you will be able to begin all daily activities in
FOLIO (circulation, cataloging, ERM, etc.) and stop using Voyager
completely. This is also the date when your new OPAC will go-live for
patrons and they can begin searching/placing requests.
*What is a Data Freeze?*
A data freeze is the time period between when we do a final export of
your data and your go-live. This is almost always one week or less. During
this time any edits made in Voyager will not make it over to FOLIO because
your data has already been exported. Although you can still make changes to
Voyager, it's best to track things "offline" (ex. spreadsheet) so you can
make sure you don't lose that information later. Any changes (including
circulation) made during the freeze will need to manually migrated by the
library after go-live.
