The first big meeting in any FOLIO migration is the patron data mapping meeting. This is usually an hour long Zoom call, but if we end the meeting with too many questions, a follow-up can be scheduled. Please see below what kind of questions are covered in this meeting as well as a link to your library's data mapping spreadsheet. I hope these will help you determine who should attend the meeting.

Patron Data Mapping Sheets

Patron Groups (questions for the migrating library)

  1. What should the patron groups be called? (FOLIO patron group names should be spelled out with no institutional prefixes)
  2. Should any patron groups be purged?
  3. Should we preserve any patrons belonging to multiple groups? (Some systems allow one patron to belong to multiple groups but FOLIO does not. If multiple groups need to be preserved, multiple accounts will be made)

Patron Records (questions for the migrating library)

  1. Which fields are important to preserve? Which can be purged?
  2. Are any custom fields needed to preserve fields that don’t exist in FOLIO?
  3. What field should be assigned to FOLIO’s “username” field? (required)
  4. What field should be assigned to FOLIO’s “externalSystemId” field? (required)
  5. Can we purge expired patrons? Is there a cut-off point or should we purge all?

Patron Loads (questions for the migrating library)

  1. How frequently should we load patron data after go-live? (Automated daily, annually/quarterly manually, etc.)
  2. Who will handle data export? Will they be able to produce all fields in the CSV template?
  3. Where will the data come from?
