Hello all,
I hope everyone had a nice weekend. *Friendly reminder that staff
permission sets for Lesley, MassArt, and MFA are due on Tuesday, May 27th.*
This is one week prior to your final migration week which will give me just
enough time to set things up, but really the sooner the better. I know most
of you have already put a lot of effort into this already. If there are any
lingering questions, please let me know. We can also cover this topic some
more in Friday's Core Team meeting. Thank you!
*Permission Set Sheets:*
- Lesley (Lesley has their own internal sheet)
- MassArt
<https://docs.google.com/spreadsheets/d/1E3C9R_GrRsCqxpD0ZfMCLOcwNladnhnx1-N…>
- MFA
<https://docs.google.com/spreadsheets/d/1Q72MKqjftbAJNKYWdanZjmhwb_DjloJKSn4…>
P.S. Once you're done, please let me know. I won't assume a filled out
sheet means you're finished until you give me the green light. :)

Hello all,
We mentioned this during the live trainings, but we offer "office hours"
during each library's go-live week. These are two hour blocks when someone
from FLO will be available on Zoom to answer questions as you use your new
system for the first time. We try to alternate morning/afternoon office
hours every day to accommodate different schedules. I've added the office
hours schedule (and Zoom link) for all five libraries to the FLO migration
website <https://libraries.flo.org/c.php?g=1242379&p=10385309> as well as
the migration timeline
<https://docs.google.com/document/d/1GQ51b38j30FC6rBdR01bTTJUPUtf3pauGQRY36O…>.
No one is required to attend office hours.
I will put out more reminders as we get closer to actual go-live. If anyone
has any questions, please let me know.

Hello everyone,
The last piece to configuring your circulation settings is setting up your
notices and slips in FOLIO. Notices are emails sent to patrons and slips
are printed by staff at the service desk. Please complete the below
information by *Monday, May 12, 2025*:
*1. Overdue notice and reminder **notice preferences. *You can schedule as
many overdue and reminder notices as you need. Reminder notices are sent
*before* an item is due. Overdue notices are sent *at/after* the due date.
(see FOLIO Notice Tokens
<https://docs.google.com/document/d/1qM4KYSRYesETxMAbvaugZej_gBFHLugsepfqSDq…>
for
information that can be dynamically added to reminder/overdue notices.)
- Please fill out the tab for your institution: Overdue/Reminder Notices
sheet
<https://docs.google.com/spreadsheets/d/1-60-K_H2oc7bJBH_gsUlBjsg3tPLfUEs6O_…>
*2. FOLIO Notices form (all other FOLIO notices and slips)*. Please fill
out the below Google form and indicate which additional notices you would
like to enable in FOLIO. A summary of the available options is provided in
a separate document.
- FOLIO Notices Google Form <https://forms.gle/YNQBBMYqT4BrnHgK9>
- FOLIO Notices list
<https://docs.google.com/document/d/1IMTItqxyRH7_pvauLo85fWh5X5jt_SVsea5c2Y5…>
Let me know if you have any questions about the above forms.

Hello all,
Friendly reminder as we near the end of the migration to please export any
final statistics/backup data from your systems before you lose access. FLO
is happy to assist in creating any last minute reports for Voyager or
Sierra. We'll also be creating a backup file of Voyager's data before
everything is purged.
- Stonehill College will lose access to Sierra on May 31st
- Lesley, MassArt, MFA, and NEC will lose access to Voyager on July 1st
FLO is also still collecting SQL reports you'd like us to write for you for
FOLIO to help with a smooth transition.
<https://docs.google.com/document/d/1fo4vV5fZjYvXNI4i3xbQJqHUk-2SsRD_-1-iBaA…>
All of the above is technically optional and may be more significant to
some libraries than others. If you have any questions or concerns, please
let me know.
P.S. Stonehill and NEC have already been given access to the new reporting
system (Cloudbeaver). I'm expecting to give the remaining 3 libraries
access sometime this week. Until go-live you will only be able to query
your sandbox system. After go-live you will be able to query both your
sandbox and production systems.

Hello all,
It's been a hectic week, but we've managed to wrap up the migration dry-run
for Lesley, MassArt, and the MFA this morning. *Library staff are welcome
to log into their systems again.* The credentials I provided in the fall
should work, but if not, please let me know.
We ironed out a lot of kinks for the final load and hit a few, minor
issues. For all of the issues we ran into, we have a gameplan for sorting
them out. I've created a summary doc
<https://docs.google.com/document/d/12g2hQdTA8JgcP-LxU-EuifG-MbfDtqZ8TM6Gb9h…>
of all errors encountered during the 3 dry runs (including NEC and
Stonehill) if you're interested.
We were also able to resolve a few outstanding issues on the FOLIO issue
tracker
<https://docs.google.com/spreadsheets/d/1xX9bw-n8CFZnmU7iF8C7qSQfmPaevK7iORy…>
with this data reload (they have been marked "Fixed").
Now is a good time to do some last minute spot checking since your data is
now up-to-date (as of Monday anyway). Please let us know if you have any
questions or spot any issues.

Hello all,
We've made some progress on this week's dry run (Lesley, MassArt, and MFA).
As of right now we've wiped out everyone's data and done a fresh export for
users, inventory, and ERM (Lesley only) data. As for the data reload, we've
finished loading Lesley's patrons and have started working on MassArt.
Tomorrow we plan on finishing the user reload and moving onto inventory. I
will continue to give daily updates until we're done and staff can use
their systems again. I'll also be reaching out to individual libraries with
summaries of any issues we run into (if any).
Have a nice evening!

Good morning all,
FLO and Index Data have finished a complete reload/review of NEC's data.
NEC staff are free to use their sandbox again. Next week will be the
dry run for the remaining 3 libraries (Lesley, MassArt, and the MFA). As
usual, we ask that staff stay out of their sandbox until we've finished the
dry run process (starting Monday). You can still use the FLO shared sandbox
<https://flo-test.folio.indexdata.com/> if you need to use that time for
training. I'll reach out to everyone with updates/results of the dry run next
week.
Dry Run Schedule:
- Week of April 14th - Stonehill College
- Week of April 21st - New England Conservatory
- Week of April 28th - MassArt, MFA, and Lesley University

Hello everyone,
This is a friendly reminder that the review period for NEC, MFA, and
Stonehill libraries ends* this Friday, April 25, 2025.*
Please submit issues or changes to the VuFind tracker
<https://docs.google.com/spreadsheets/d/17_5YdqHeg3Em7HcpH-WFTXGgb6YXrgTOezY…>
by Friday to ensure that Index Data has enough time to complete work on
your OPAC before your go-live date.
Let me know if you have any questions!
Best,
JEnn
