Hello all,
Today is your *last day* to respond to the patron data mapping meeting
Doodle poll.
The first big meeting in any FOLIO migration is the patron data mapping
meeting. This is usually an hour long Zoom call, but if we end the meeting with
too many questions, a follow-up can be scheduled.
Please let me know your availability and who my patron mapping point
person/people will be by the end of today *Friday, September 27th*. I'd
like to know who might attend so I can send out calendar invites. Thank you
to all of you who have responded already!
*Doodle Poll:* https://doodle.com/meeting/participate/id/bkDXkNNd
Note: Although I'm using one Doodle poll for all 5 libraries, each library
will have their own meeting. It's just easier for me to do it this way :)

*Patron Groups (questions for the migrating library)*
1. What should the patron groups be called? (FOLIO patron group names
should be spelled out with no institutional prefixes)
2. Should any patron groups be purged?
3. Should we preserve any patrons belonging to multiple groups? (Some
systems allow one patron to belong to multiple groups but FOLIO does
not. If multiple groups need to be preserved, multiple accounts will be
made)
*Patron Records (questions for the migrating library)*
1. Which fields are important to preserve? Which can be purged?
2. Are any custom fields needed to preserve fields that don’t exist in
FOLIO?
3. What field should be assigned to FOLIO’s “username” field? (required)
4. What field should be assigned to FOLIO’s “externalSystemId” field?
(required)
5. Can we purge expired patrons? Is there a cut-off point or should we
purge all?
*Patron Loads (questions for the migrating library)*
1. How frequently should we load patron data after go-live? (Automated
daily, annually/quarterly manually, etc.)
2. Who will handle data export? Will they be able to produce all fields
in the CSV template?
3. Where will the data come from?

Hi all,
I've finished most of the data mapping for the upcoming migration. This is
where we take the data from your current system (Voyager or Sierra) and map
it to FOLIO fields. Depending on the library, this is typically broken down
into three spreadsheets: patrons, inventory (holdings and items), and ERM
data (CORAL or otherwise). The library's job is to fill each sheet out with
guidance from FLO. We will have Zoom calls to go over each one, but I
encourage libraries to review and/or fill out what they can before we meet.
If you'd like to get a headstart, I'm sharing a link to all of the files
below. We'll officially be scheduling the data mapping meetings starting in
October. If you have any questions, please let me know. If you don't have
time to work on these now, no pressure at all!
*Data Mapping Sheets:*

*Note:* Since I had a lot of libraries to work on, I did most of my work on
these sheets in July, so the counts reflect that time period. Now that the
semester's begun, I will add updated counts soon.
*Note for Stonehill:* I'm still working on your data since I just got
access to the Sierra database, but patrons should be good to go :)

Hello all,
Friendly reminder to respond to the FLO 2025 migration kick-off Doodle if
you haven't already. Thank you to all who have responded thus far. You have
until this *Friday, September 13th *to respond. The goal of the kick-off is
to set expectations for the project, discuss the goals of the migrating
libraries, and answer any questions/concerns about the new system and the
migration process. Anyone on your library's staff who will make substantial
contributions to the migration process should attend.
Side note: welcome to the new FLO Migrations 2025 mailing list! This is the
listserv we'll be using for anything migration related up until your
go-live in FOLIO. So far, I've added only people listed on the Contacts
<https://docs.google.com/spreadsheets/d/1cfKV8sDUOgCu3NvN1zF0ta6i0BF5xBfldnK…>
spreadsheet. If you'd like me to add any more people, please let me know.
